What can be found in the shared communication and where can the visability of attachments be defined?

Define visability of attachments for raters

In the shared communication section of the assessments, raters can find the attachments and documents for an application that have been uploaded by candidates or recruiters. These documents are displayed to raters as soon as they have been invited to perform a detailed rating.

By default, raters can only see the attachments and documents for the specific process step to which they have been added. Admins can define further settings for the visability of attachments for raters under ‘Templates rating schemes’.

Go to “Settings” and then to ‘Templates rating schemes’. There you can set the ‘Visability of attachments for raters’.

The following options are available:

  • View all attachments for the relevant applicationThe raters can view all attachments associated with the respective application, regardless of the current step in the application process.

  • View all attachments for the relevant stepThe raters only have access to the attachments that were uploaded specifically for the current step in the application process.

  • View all attachments for the relevant step and the application receiptThe raters can view both the attachments linked to the current step and those uploaded when the application was submitted. Attachments from other steps are not visible.

Define visability of other people's ratings

By default, only recruiters for the job and HR-Managers can see everyone's ratings. This reduces influence and allows raters (e.g. line managers and other team members) to give their feedback/rating as impartially as possible.

Recruiters or HR-Managers can release ratings to other people individually as needed. There are two options to choose from in the ratings; read more here.

Define default settings for releasing ratings

In addition to individual release, the visability of ratings can be controlled by administrators as a default setting here in the settings via the rating scheme. As an admin, you can set which release option should be suggested by default. There are 3 options available

In addition to individual release, administrators can control the visability of ratings centrally via the rating scheme. This determines which release option applies by default or is suggested when rating. There are a total of three options available:

  • Rates released by recruiters are visible from the outset. (Default). By default, other people's ratings are not visible to raters unless they are individually released by recruiters. This option is particularly suitable if recruiters make a preselection on a case-by-case basis and this rating should be visible to raters, but not by default for every rating. This option is also recommended for interview or trial ratings, as it minimises influence and only creates transparency when necessary. ​

  • Other people's ratings become visible as soon as you have submitted your own rating.Other people's ratings are only displayed after the rater has completed their own rating. This supports independent assessment and subsequently facilitates coordination within the team. This option is particularly suitable for interviews or trial work, as it prevents influence and, at the same time, makes it transparent how other people have assessed after you have submitted your own rating.​

  • Completed ratings by others are visible from the outset. Completed ratings by others are visible from the outset. This option is primarily suitable for recruiters to assess application documents as a preselection process. It is not recommended for assessing interviews or Trial apprenticeships, as early visability can lead to influence.
