Functions in the dossier view and information on the dossier overview

Which functions / information on the applications can be found in the dossier overview and in the dossier?

Features in the dossier overview

All applications are displayed individually in the dossier overview. The most important personal information about the applicants is summarised in a compact ‘Dossier’ column. Additional columns/fields can be displayed or filters can be used.

Some of the features are described below.

Display of multiple applications

1. View for multiple applications: Here, too, each application or dossier is displayed as a separate data record (row) in the dossier overview. If there are further applications, these are displayed as ‘+ number of further applications’.

2. Clicking on the button displays all other applications, which are shown with a blue background.

Displaying dossier internal notes

When you hover the mouse over the icons for the process steps, additional information is displayed: the ratings including the current status and internal notes, if any have been created. Notes can either come from the applicant in the comment field of the input mask (in this case, ‘Created by: Online Portal’ appears) or from recruiters (in this case, the name of the person appears).

Display of additional information (tags) in the dossier overview

The following information is displayed as a tag in the dossier overview:

  • ‘International application’

  • ‘Top candidate’

Features in the dossier view

Multiple applications (1)

View applications if the applicant has applied for multiple jobs.

Add application (2)

Click on the + to manually add another application. You have the option of adding a completely new application or changing the job (point 6). Read more here.

Additional functions in the 3-dot button of the application (3)

Create additional step (4)

If the current step cannot yet be completed, but the next step is to be started at the same time.

Mark as top application or remove as top application (5)

Mark particularly good candidates visually with the trophy icon.

Change job (6)

If the candidate is even better suited to another job or if a potential apprentice has made a mistake with the start date of the training, the job can be changed here.

Edit earliest start date (7)

Here you can adjust the start date.

Delete application (8)

When applications are deleted, they are deleted from the system along with all their data. No background information is available for evaluation. This should only be used for test applications or applications that have been created completely incorrectly. In all other cases, the application should be anonymised.

Anonymise application (9)

For the manual anonymisation of applications with an acceptance or applications from candidates who proactively register before the deadline for automatically anonymising applications. More on the topic of anonymisation here

International application (10)

An application is tagged with the ‘International application’ label if the location of the job and the applicant's address are in different countries.
