Overview and features of the dossier

What features are available within a process step in the dossier? Here is an overview of the most important options.

Written by Nadine Mösch

Requirements

  • Recruiter rights within the relevant application process

  • A dossier with an application process already underway

First, we’ll look at the general view of the dossier, showing the various sections: on the left, the personal data; on the right, the filtered list of dossiers; and at the top, information about the job and the application. In the centre are the process steps, the features of which will be explained in more detail below.

Personal data

The numbers in the screenshot indicate where the features described below can be found.

1. Show / hide personal data

The X in the top right-hand corner can be used to hide the personal data section, whilst the arrow can be used to show it again. The hidden view is also shown in the screenshot.

2. Edit personal data

Personal data can be edited using the pencil icon.

3. Multiple applications

In the case of multiple applications, all applications are displayed here. Clicking opens a drop-down menu allowing you to switch between applications or, by clicking on ‘+’, to create further applications.

Application information

4. Job / Job title including working hours

If there are internal job notes, these are indicated by a note icon. The notes can be activated, disabled and edited in the jobs settings under ‘Job information’.

5. Background information on the job

This section displays background information on the job, such as the job type (apprenticeship, employees or internship), start of employment and the location for which the job was published.

6. Additional information on the application

The optional additional information relating to the application is displayed here. Clicking on ‘+’ allows further information to be created. Below is an overview of the additional information currently available:

Top Application:

The trophy icon can be awarded on an individual basis and is displayed in the dossier and also on the dossier overview.

Earliest start date

The earliest start date indicates the earliest date on which the applicant could take up the job. This information can be requested directly in the application form and subsequently displayed in the dossier. Alternatively, it can also be created or amended manually.

International Application

An application is tagged as an ‘International Application’ if the location of the job, the applicant’s home address or their nationality relate to different countries.

Language of Communication

The language of communication indicates the language used to communicate with the applicant. e-mail templates are displayed in the language of communication by default.

Salary expectation

Salary expectations can be requested directly in the application form and will subsequently be displayed here in the dossier. The information can also be entered manually if, for example, it is asked for during the interview. This ensures that the desired remuneration is centrally documented for the further assessment of the application.

Note: If the salary information for the job is changed (e.g. from annual to monthly salary), the applicants’ salary expectations are automatically converted. This ensures that the details of all applications for the job remain comparable.

Job settings

7. Features of the job settings

Using the cog icon, you can make the following adjustments or jump directly to the relevant information.

Open jobs settings

Go directly to the settings for the relevant job. This feature is only available to recruiters with editing rights for the job.

View dossiers for this job

Back to the dossier overview. The filter is automatically set so that only dossiers for the relevant job are displayed.

View ratings for this job

Go to the application overview. The filter is automatically set to display only ratings for the relevant job.

Change job

Assign an application to a different job, for example if an applicant has selected the wrong year of apprenticeship or has applied on the spur of the moment. To do this, select the desired job from the drop-down menu.

Note: The entire application and the whole application process will be assigned to the new job. You will no longer be able to see which job the candidate originally applied for. We therefore recommend adding a note in the comments section, depending on the background of the reassignment

Create additional step

If the current step has not yet been completed, but the next step is to be started at the same time.

1. Select ‘Create additional step’

2. Select the desired step and the responsible person from the drop-down menu, then click ‘Create step’

Anonymise application

For the manual anonymisation of applications that have been accepted or applications from candidates who proactively contact you before the deadline for automatic anonymisation. Find out more about anonymisation here

Delete application (not recommended)

When individual applications are deleted, they are removed from the system along with all associated data. No background information will then be available for evaluations. This should only be used for test applications or applications that have been created completely incorrectly. In all other cases, the application should be anonymised.

Note: We recommend deletion exclusively for test data or incorrectly created dossiers/applications. In all other cases, we recommend archiving. This complies with legal requirements whilst also allowing you to continue carrying out evaluations. Read more here

Filtered list / Overview

8. Filtered list

The filtered list displays all dossiers in the same order as in the dossier overview, for example sorted by matching or name. This makes it easy to switch between individual dossiers. The currently open dossier is highlighted in colour.

Overview of features in the process step

The numbers in the screenshot indicate where the features described below can be found.

1. Step type

Each step type has its own icon. The colour indicates the overall rating of the step. As long as the step is open, the icon is displayed as a circle. The due date is shown in the top right-hand corner.

For application receipts, the source or channel is also displayed, e.g. career portal, Google for Jobs, LinkedIn or jobs.ch.

  • If an application is created manually, the source is listed as ‘Manual’.

  • If a process step of the ‘Rejection’ type is entered via a mass rejection, ‘Mass rejection’ is displayed as additional information.

2. View/edit due date

By default, the due date is determined based on the start or end date of the process step. You can adjust the due date individually by clicking on the displayed due date or via the three-dot menu. Read more here

3. Edit step

Process steps can be edited using the three-dot button, for example:

  • Complete step or open it again

  • Edit due date

  • Notify employees

  • Delete step

4. Expand and collapse process steps

Individual process steps can be expanded or collapsed using the arrow icon. Completed process steps are collapsed by default and displayed with a grey background. Ongoing process steps are expanded by default and have a white background.

5. Responsible person

Only recruiters can be selected as the responsible person.

Among other things, this person is notified when a new process step is assigned to them or when a detailed rating is completed. For meeting invitations and notifications, the responsible person is automatically included in the preselection.

6. Executing person

Any employee with Dualoo access can be selected as the executing person.

Details such as first name and surname are also available as placeholders for email, letter and assessment templates. For meeting invitations and notifications, the executing person is automatically included in the shortlist.

7. Date

Depending on the step type, the date as well as the start and end times can be created.

The date is used, amongst other things, to calculate the due date of an outstanding process step. More information on due dates can be found here.

Practical example: If the ‘Activity’ step is used as ‘on hold’ or as a ‘talent pool’, the due date can be set in the future here.

Placeholders are available in various process steps, for example for the date and details of the executing person. These can be used in email, letter and assessment templates and are automatically replaced with the relevant information when the documents are entered.

Read more here.

8. Communication

Here you will find all documents and communications relating to the process step, for example:

  • Application documents

  • Emails

  • Letters

  • Internal notes

Applicants’ replies to emails are also stored here. In addition, the sender is notified by email that a reply has been received.

9. Edit communication

Depending on the document, various features are available via the 3-dot button, for example:

  • Rename

  • Move

  • Release for raters / Remove release for raters

  • Delete

10. Send email

Emails can be created from templates or entered from scratch and sent directly from Dualoo. They can also be scheduled to be sent at a later date.

11. Internal note

By default, internal notes are only visible to recruiters and are stored in the ‘Communication’ section.

Release for raters is done via the 3-dot button. See point 7.

12. Upload documents

Documents can be added to the process step via ‘Upload’ or by drag-and-drop.

13. Generate document

Documents containing placeholders can be automatically generated as PDFs from stored templates.

This is suitable, for example, for cover letters or employment contracts.

14. Detailed ratings

If a detailed rating has been set up for the process step, raters can be added.

They will receive a notification and can carry out the rating directly in Dualoo.

The current status of the individual ratings can be viewed in the process step via the info button.

13. Overall rating

Each process step has an overall rating:

  • Insufficient

  • Sufficient

  • Good

  • no rating
‘None’ can be selected if the step is not to influence the rating. For example, for a process step of the type ‘Activity / On hold’ or for ‘Rejections’ and ‘Acceptances’.

  • The rating is incorporated into the overall rating of the application in the Matching Index via an algorithm. Further information on the Matching Index can be found here.

14. Complete step

Clicking ‘Complete step’ starts the next process step or terminates the application process.

If another responsible person is selected, they will automatically receive a notification.
