How can I create or adapt my own design for letters?

The design letters is the basis of the templates letters / e-mail. The layout and, for example, the footers and headers are defined in the design.

Connection between design and template

You can read the connection between design and template here.

The two placeholders X_BETREFF and X_TEXT are used to copy the content into the document. The content of the document is defined in the "Settings" under "Template Letter / E-Mail". Read more about defining the content here.

Attention: You can only upload *.docx files.

Example of a document for letter design

Add new design

1. Click on "Settings" at the top of the menu Under the title "Recruitment module", select the sub-item "Letter design".

2. Click on

to add a new design.

3. Enter a new name for the new design in the field "Document name" (e.g. document with logo)

4. Open the document you want to add on your computer with Microsoft Word

5. Now adapt the document to your needs Please note the important requirements above.

6. Replace the words where you need data from Dualoo (e.g. address of the applicant) with the placeholders from Dualoo. A list of all placeholders can be found here.

7. The document must necessarily contain the two placeholders X_BETREFF and X_TEXT so that the defined content can be inserted

8. Save the document on your computer

9. Upload the saved document with the button in Dualoo or drag & drop it into the field

10. The design must then be assigned to a template. To do this, switch to "Letters/e-mails templates" in the "Settings" menu. After you have selected the process step and the correct template, select the newly created design under "Letter design template".

Adapt existing design

1. Click on "Settings" at the top of the menu Under the title "Recruitment module", select the sub-item "Letter design".

Now select the design you want to adjust.

3. Click on the document name to download the latest version:

4. The *.docx file is started as a download. Depending on the browser, a download message appears in the lower part.

5. Open the downloaded document with Microsoft Office

6. Modify the document according to your needs or add new placeholders A list of all placeholders can be found here.

7. Save the document on your computer

8. Upload the saved document back to Dualoo with the button or drag and drop it into the field

9. From now on the updated document will be used in all linked letters. Do you want to add the design to another letter? To do so, go to "Letters / E-Mail templates" in the "Settings" menu. After you have selected the process step and the correct template, select the changed design under the item "Design template for letters".

For accounts with several recruitment languages

If you have activated several recruitment languages in your account, you must also create a layout for each language and then store this accordingly in the e-mail and letter templates.

Note on placeholders for multiple languages

Certain placeholders are language-specific and can therefore only be used in the corresponding language.

For example, the salutation. "B_ANREDE" is always German "Herr / Frau", for other languages other placeholders must be used. For example, "B_ANREDE_GB_FR" in French is "Madame / Monsieur". Many placeholders such as B_VORNAME remain the same in all languages.
