We show you the advantages and disadvantages of the variants and finally how you can implement them.
Variant 1: Info text in e-mail signature (recommended for company vacations or reduced operation)
Variant 2: Set up forwarding for your e-mail account (recommended for vacations up to 3 weeks, if variant 1 cannot be used and the applications should not be left lying around)
Variant 3: Transfer all open todos to a substitute / successor (recommended in case of resignations or long-term absences)
Requirements
Admin rights (variant 1)
May create e-mail forwarding, no rights required in Dualoo (variant 2)
Rights as recruiter in Dualoo (variant 3)
Variant 1: Info text in the Dualoo e-mail signature
We recommend this variant, for example, during company vacations or during a period when you are working with reduced staff. This is a short-term adjustment of the e-mail signature in Dualoo.
Advantages / disadvantages:
+ Very easy and quick to implement
- It must be remembered to change the signature after the time period.
- Applications, ratings and e-mails received during this period will not be processed
Read here how you can customize the signature in the settings.
Tip: Add a nice banner (image) or an additional text to the general e-mail signature e.g: "Absence message: Between 17.07. and 01.08. we work in reduced operation. Some recruiters are on vacation. Therefore, longer waiting times may occur. Many thanks for your understanding."
Option 2: Set up forwarding for your e-mail account
Here you can create a rule in your own email account to forward all emails you receive from Dualoo. To do this, create a rule in your normal e-mail account to forward all e-mails with [Dualoo] in the subject.
We recommend this variant, for example, during vacation absences of individual employees as a deputy rule (recommended for vacations of up to 3 weeks, if variant 1 cannot be used and the applications should not be left lying around).
Advantages / disadvantages:
+ Very easy to implement
- Must be discussed well with a representative
- You must remember to deactivate the forwarding after the time period.
- Even after deactivating the forwarding, the deputy will still receive the replies of the applicants to whom an email was sent, because Dualoo always sends the sender of an email the respective reply. In this case, the deputy must be informed that these e-mails will be forwarded manually.
1. Create a rule in your email account to forward incoming emails from Dualoo to your deputy.
- Here you can find additional instructions for Outlook.
- Here you can find a guide for Gmail.
- Other e-mail providers also offer this service, you can usually find this directly in your email account settings.
2. Remove or deactivate email forwarding after your vacation absence.
Tip: Set up a reminder to deactivate this rule when you are away on vacation, for example in your calendar.
3. All incoming reply e-mails from applicants should be forwarded to you by the deputy.
Variant 3: Transfer all open ToDo's and due dates to a successor
Instructions on how to proceed in the case of employees leaving the company can be found here.
Advantages / disadvantages:
+ A transfer to a successor can be made smoothly and fully automatically.
- Very costly
- Access to the business e-mail account of the leaving employee is required once.
