Get to know the two ways how applications can be received.

We show you the two variants, the advantages and disadvantages and how to create them.

  • Variant 1 (recommended): Each recruiter is informed about the receipt of applicants for their jobs.

  • Variant 2: All applicants are received in a central e-mail inbox.

Requirements

  • at least: Recruiter rights

  • optional: Admin rights

Variant 1 (recommended): Each recruiter is informed about the receipt of applicants for their jobs.

Advantages and disadvantages

Advantages:

  • Simplest version and very intuitive

  • Efficient, as you only have to read the e-mails that concern you. Not all info mails are sent via an application receipt.

Disadvantages

  • If you use a proxy, you must remember to enter the proxy in the field ‘Application received on/Contact person for the job ad: *’ before you go on holiday, for example. Here you can find out how to do this and how you can represent a recruiter in Dualoo.

Create on the job

In the job advertisement, the person responsible for recruitment is selected and entered in the ‘Application received by / contact person advertisement:*:’ field. This person receives an e-mail with a direct link to the dossier each time an application is received by them.

Option 2: All applicants are sent to a central e-mail inbox

Advantages and disadvantages

Advantages

  • An acknowledgement of receipt of the request is sent to the applicant from a general email address.

  • No action is required in Dualoo for representations.

Disadvantages

  • More work involved in the daily review of all application documents

  • The user (HR team) must be granted recruiter rights for each job advertisement

  • Traceability is not possible

  • Access to (own) previous dossiers / ratings

Practical Cases

  • Job sharing (part time)

  • Constant change in the review of dossiers (depending on who has time)

Create on the job

When a new job is advertised, the user with the name ‘HR team’ or similar is selected in the "Application received by / contact person advertisement:*" field. This is a trick: a user is created with a General e-mail address to which all recruiters have access (e.g. [email protected]). This e-mail address then receives an e-mail with the direct link to the dossier every time an application is received by it.

Procedure for application received by

  1. Login with own user

  2. Adjust Responsible in Dualoo already at application receipt

This makes it clear which user has accepted this application.

Important for part-time/job sharing: If raters are added and a rating is submitted later, the information about the completed rating is sent to the responsible person in the process step. Substitution of the e-mail inbox (e.g. via access or corresponding rule) must be guaranteed.
