Use of external tools

Learn in this article how to use external tools (e.g. online personality analysis, MS Teams or Calendly) in Dualoo.

Requirements

  • Admin rights to enter a new template with a form link in "Templates letters / e-mail".

  • Recruiter rights to use the template in the process.

Introduction

In the area of personality analysis and video interviews, two tools are already directly integrated in Dualoo. For more information on personality analysis with Identify, click here. You can find out how to trigger video interviews directly in Dualoo with Jitsi here.

The following article explains how other tools can be easily combined with Dualoo.

Use cases

This Help Centre article can help in the following practical examples:

  • Video interview, e.g. MS Teams

  • Personality analysis, e.g. Wingfinder

  • Appointment arrangement for interview via booking link, e.g. Calendly

  • Obtaining further data for contract preparation at the time of acceptance, e.g. substitute personnel master data sheet

  • Obtaining further data for transfer to a further system - Detailed instructions can be found here.

Depending on whether the link is different for each Applicant (e.g. personality analysis) or the same for each Applicant (e.g. general form), it will be integrated differently.

Individual link to external tool (using the example of video interviews with MS Teams)

Settings

  1. Enter process step

    Under Settings - Application processes, enter a new process step 'Interview', put it in the correct order and rename it accordingly (e.g. "Video interview via MS Teams").

  2. Enter e-mail template

    Under Settings - Templates Letters/E-Mail, enter an appropriate e-mail template for the appointment invitation to the candidate.

    TIP: We recommend inserting a note here where the individual link must be replaced. The easiest way to do this is to insert two square brackets before and after the note. This will automatically highlight the note in yellow when sending the e-mail. (e.g.: [[INSERT TEAM LINK HERE]] )

3. Link new template

Link the new mail template in the process step entered under point 1.

Dispatch invitation in the dossier

  1. Continue the process in the dossier concerned with the newly entered process step.

  2. Enter the link separately in your MS Teams account and copy it. Invite any internal participants directly to this appointment.

The appointment invitation to the candidate can now be sent in the process step. Here, the note on the individual link can be replaced by the MS Teams link you entered yourself.

Fixed link to external tool (using the example of appointments with Calendly)

Settings

  1. Enter process step

    Under Settings - Application Processes, enter a new process step 'Interview', put it in the correct order and rename it accordingly (e.g. "Telephone Interview").

  2. Entering an e-mail template

    Under Settings - Templates Letters/E-Mail, enter an appropriate e-mail template for the appointment invitation to the candidate. Since this is a fixed link, it can be stored directly in the mail template.

3. Link new template

Link the new mail template in the process step entered under point 1.

Send invitation in the dossier

  1. Continue the process in the dossier concerned with the newly entered process step.

  2. Send the mail based on the newly entered template. Nothing more needs to be added here, as the link is generally valid and is displayed directly from the templates.
